CareAccess Non-Clinical Scheduling & Administrative Support

CareAccess Coordination Services is a fictional administrative network that needs consistent appointment and referral-document workflows. Learners operate only non-clinical synthetic scenarios, with no diagnosis, treatment, medical advice, emergency response or real health data.

Fictional organization: CareAccess Coordination Services • Suggested duration: 6 weeks

Required disclosure: This is an assessed training simulation completed with fictional organizations and synthetic data. It is not evidence of work for a real client, live commercial results, employment, placement, earnings, or a client endorsement.

Business challenge

Why this simulation matters

Healthcare-adjacent organizations purchase non-clinical scheduling, contact-center, document, billing-administration, training, quality, reporting and workforce support, but require stronger privacy and scope controls.

Objectives

  • Create accurate non-clinical appointment and document workflows.
  • Define safe identity, privacy, escalation and emergency redirection boundaries.
  • Build synthetic capacity, service, quality and administration reporting.
  • Demonstrate that every learner can stop and escalate work outside role authority.

In scope

  • Entirely synthetic people, appointments, referral-cover records, call reasons, schedules and administrative billing records.
  • Non-clinical role-plays, document processing, knowledge, WFM, QA, training and governance.

Explicitly out of scope

  • Diagnosis, treatment, medical advice, triage, emergency handling, medication, clinical coding or clinical decision-making.
  • Real patient data, health conditions, medical records, insurance credentials, IDs or payment details.

Success measures

  • All scenarios remain within documented non-clinical boundaries.
  • Appointment and document records meet accuracy and completeness targets.
  • Every urgent, privacy or clinical trigger is stopped and escalated.
  • No real health or identity data is collected, inferred, processed or published.

Assumptions

  • The scenario uses only clearly labeled synthetic records without real health information.
  • A trainer immediately owns every clinical, emergency, legal or regulated decision.

Dependencies

  • High-control synthetic data pack and explicit prohibited-task list.
  • Approved identity-safe scripts and escalation answer key.
  • Privacy/security review before learner release.

Primary risks and required controls

Learner provides medical guidance or processes real health information.

Control: Zero-tolerance critical error, scripted stop/escalate behavior, and synthetic-only dataset.

Portfolio wording implies healthcare qualification or real patient service.

Control: Mandatory non-clinical simulation disclosure and governance approval.

Cross-functional role plan

Every role has owned work, deliverables and measurable KPIs.
